Reports Module
New features
- A new Custom Reports section has been added. Meaning we can now build bespoke reports specifically for your practice and make them appear directly inside your i-Clarity system. (See our service request portal on the hub.)
- Reports can now be viewed in three ways:
1. Formatted report (as before)
2. Data grid view – shows raw data without totals (ideal for Excel export)
3. Graph view – visual charts - Graphs are fully adjustable:
- Change graph type (bar, line, etc.)
- Choose what appears on the X and Y axis
- New and custom reports can now be added without needing a system update.
Additional report updates
- Appointment attended report can now be filtered by clinician
- Purchase Order report now runs without selecting a supplier
- Branch column added to the following stock reports:
- Stock Valuation
- Stock Sold (Summary & Detailed)
- Slow Moving Stock
- Re-order & Minimum Stock reports
- Gift Vouchers Report now includes details of who the voucher was sold to and who has redeemed the voucher (training branch gift vouchers are now excluded from this report).
New Reports Added
- Over the next few weeks several new reports will be added to the enterprise system- details to follow.
Practice Orders Module
- The practice orders module now has its own menu located on the top navigation bar.
- From here you can launch the practice orders module with different products and statuses selected.
- A new status has been added to the practice orders module. Spectacles to be delivered, overdue.
This shows spectacles that are overdue delivery, using today's date and the expected or required date on the spectacle order. - A new 'Show Financial' button has been added to the bottom of the practice orders module, that show the financial information about each order, e.g. money still outstanding against the sale.
- A new export button has been added to the bottom of the practice orders module
This allows you to export the results of your selection into either excel or a printable pdf.
Direct Debit Payments - Bottomline PTX
Along with bottom-line eMandate(FCC) i-Clarity now integrates with Bottomline PTX. A direct debit collection service where your SUN agreed with the Bank can remain in place after a move to an integrated solution.
General Changes
Direct Debit Module
- Recurring product set up: you can now no longer set up and save a recurring product supply with either an order or supply date in the past.
- Manual payments, edits to manual payments will now be carried through to the days cashing up period.
- DD payments can now only be rejected if they are within 3 months.
- DD payment lines now have a cancel in the future option, reinstating the end date feature against a payment line.
- Enhancement to Bottomline eMandate link that passes suspension request when all active payment lines expire. Post request i-Clarity would load an error message on the opening of the DD form because there was no payment amount on the bottomline eMandate (FFC) website.
Deferred payments
- Previously, clicking anywhere in the Selected column (not just the checkbox) would change the selected totals. This could cause the payment amount to increase accidentally and then decrease again when the box was properly ticked.
This has now been corrected — totals will only change when the checkbox itself is ticked.
Dispensing Module
- Issue resolved where updating the old Rx flagging feature occasionally changed the dispenser name on historical dispenses to the current user. Historical dispense records will now correctly retain the original dispenser.
- If the Misc Lens feature was used and a quote was not immediately confirmed the misc price was lost on quote reload.
Appointment Status
- Appointment status can now be updated directly from the sidebar appointment list
Patient arrival notifications moved to the patient screen (so they are no longer dependent on the sidebar)
Patient Record
- Using the i-Clarity menu right-click options copy and paste on the patient details fields now registers a change forcing a save warning if record not manually saved.
Gift Vouches
- Prompts for gift voucher codes is now back.
Dashboard
- Exam Summary Dashboard; Next due date displayed is now the next due date of that exam type e.g. Eye exam or CL. Previously it always showed the Eye Exam Due Date.
- Exam Summary Dashboard; time removed from the next due column to clean up displayed data.
- Exam Summary Dashboard; Finalised and Compliant Columns added to the exam summary dashboard
- DD’s and Regular Supplies Dashboard; First collection date added to the dashboard. Date only displays if in the future.
Sales and Dispenses Summary; Sunspec sales through the till now appear with in the totals figures. - Sales Dashboard now shows the time of the sale as well as the date
- Dashboards now default to branch rather than company on load but have a memory so will display the last selection on reload.
- Enhancement to actions update on dashboard, that double checks ID of edit screen matches patient ID, this additional check has been added to account for dashboards set to auto refresh, with filters active.
Clinical Records
- New Medmont Studio, REVO OCT and Imagenet7 integrations
- Issue preventing saved VAs against an objective Rx from displaying on record reload now resolved.
- Contact lens add validation now no longer prevents ad hoc adds from displaying on clinical record reload.
- Full functionality of left and right click available on second screen on pulled through clinical record information such as medication.
- Contact lens trials - left and right references were presented in the wrong order compared to the rest of the system. Switched so order is consistent with the rest of the system.
- Clinical record locking and record ownership logic has been enhanced.
- Locking has now been moved to clinical record level rather than whole module locking. For a more enhanced locking experience.
- If a clinical record is open a computer and then opened on a second computer, the system will now detect a conflict and warn the user tyring to open the clinical record for a 2nd time.
- If urgent, a clinical record ownership can be taken over on the 2nd machine, by a force unlock, this will reload the clinical record from the last save on the original machine.
- The original machine will then no longer be able to save its record state so that it cannot overwrite newer data.
- In the situation where ownership was taken away from a clinical record open on a specific machine, data from that record will be exported into a txt file and saved to the patient documents for full audit tracking.
Invoices Module
- When trying to add received good to an invoice from the option ‘search by job/order no’, there is now a refresh on the drop-down cells to mean you do not have to close and open the receive good form between each addition.
Maintenance Module
- New online booking feature due for release that will display the appointment early arrival time means the prevention of selecting ‘available online’ against an appointment type with an early arrival time has been removed.
- Glazing products can now be added to promotions in the promotion’s maintenance tab.
- There is a new field against the branches tab 'Online Review Link'
This new field has a corresponding merge field for SMS and email communications in both adhoc and recall
Audiology
- New drop-down option for audiology recall schemes available in the recall module.
- Audiologist field now auto populates on the audiology clinical record to prevent the need for manual selection.
Scottish eGOS
- When submitting a 5.1, the claim exam type was defaulting back to Both when it should have been GOS specialist. Refresh to the default eye exam type stopped
- When 'none of the above' is ticked in the patient's entitlement you sometimes would get an error indicating another box was ticked but the form appeared correct, logic changed to check for historic form entitlements and remove any now invisible selections
System
- Copy button added to error messages that produce lists of patient IDs. e.g. when marketing fails to send to a few patients. This list can now be copied and pasted into word or text file. This allows for the user to continue working and for records to be reviewed.
- Issue with GP lookup, not saving GP to branch list if it existed in another branch already - Logic changed to resolve issue
- Total field on the contact lens dispensing form disabled from allow a price to be entered as edits to this field where not used by the system, price edits should be done i the unit price field.
- Speed of validation of deferred payment lines has been improved
- A search has been added to the deferred payments module
