You can create promotions packages in Maintenance, which allows the user to select frames and lenses at reduced prices when they select the promotion in the Dispense module. You can add either frames or lenses or a combination of both. If you add both frames and lenses to a promotion, you will only be able to select a combination of the promotion frames and lenses for the promotion to work.

Creating A Promotion

Navigate to Maintenance, Point of Sale & Dispensing and then Promotions to load the following screen and click 'New Promotion'.

This will open up a new window.

  1. Fill in the Promotion Name box with the name of the promotion. This is what will show up in your promotions list in the Dispensing module.
  2. In the Branch box, choose from the dropdown list which branch this promotion is available in.
  3. If you have a start date for the promotion, you can select this from the date box, or check the box for 'Remove Date' if you don't have a specific start date.
  4. In the End Date box, you can select a date for the promotion to automatically end, or check the 'Remove Date' box underneath if the promotion is open ended.
  5. Click 'Save' to save the new promotion.

Adding Products To A Promotion

You can add lenses and frames to the promotion in two ways. If you would like to add lenses in bulk you can use a spreadsheet.

  1. Highlight the promotion you want to add to by clicking next to it in the top part of the screen.
  2. Click on the 'Create Frames Promotion Spreadsheet' or 'Create Lenses Promotion Spreadsheet' button on the right-hand side. This will open a new window.



  3. You can filter what frames or lenses you would like to export using the checkboxes, e.g. you could only export lenses from a certain supplier.



  4. Click 'Search Products'. This will show you how many products are going to be included on the spreadsheet. Then click 'Create Spreadsheet'.



  5. Choose the location that you would like the spreadsheet to be saved, name it and click 'Save'.
  6. Open the spreadsheet from the file location to edit.
  7. Any lenses that are NOT included in the promotion need to be deleted from the spreadsheet. You can add the promotion price of the frame or lenses in the 'Sale Price' column. If you are purchasing the products at a different cost price to usual, you can add this cost price in the 'Cost Price' column.
  8. Save the spreadsheet.
  9. Go back to Maintenance and Promotions to import your spreadsheet. Click on the 'Import Frames Promotion Spreadsheet' or 'Import Lenses Promotion Spreadsheet' button.
  10. Select your spreadsheet and click 'Open'.
  11. The imported products will now show in the bottom window.

Please note - When importing spreadsheets in Promotions, they do not override what is already assigned to the promotion. They only add extra products. If you need to remove or edit an already assigned product, you need to do this in the bottom section of the screen. If you are adding extra products to the promotion, you do not need to include current products on the spreadsheet, you only need to include what you want to add.

Adding Individual Products

  1. Highlight the promotion by clicking on it in the top part of the screen.
  2. Click 'Add To Promotion' on the right side of the screen. This will load the following screen.

  3. In the 'Filters' section, select either 'Frames', 'Lenses', 'Lenses Coats Combo', 'Lenses Coats Tint Combo', 'Coats and Finishes' or 'Glazing'.
  4. Use the 'Supplier Filter', 'Lens Type Filter', 'Cost price filter', 'Standard price filter' or 'Word Search' to narrow down which frame and lenses you want to add to the promotion and then click the search button.
  5. This will fill the bottom box with products. Tick the 'Sel' column to select the products you want to add and edit the Promo Cost and Promo Sale Price columns.
  6. When you have selected all the products you would like to add to the promotion, click 'Save' or 'Save and Close'.
