Enhancements
 
DD Module Enhancements
The layout of the direct debit module has been modified so that the set up and editing of mandates is now done on a pop-up form rather than within the main form. This change is to allow for increased validation of DD setups.
 
 
Use the action buttons in the bottom left to add new recurring products, setup a mandate.
Then add a payment line edit, pause and suspend a mandate.
 
The mandate will now appear on a separate form to the main DD module so that we can validate the set up.
 
 
DD Validation
  • You can now no longer save a mandate if the next payment date is in the past.
  • Clicking the Validate button will check the patients sort code and account number match
  • There is the ability to set up a default collection method in maintenance along with allowed collection dates, limiting the calendar.
  • A display of the patients upcoming payments is shown to help explain split payment for spectacles
  • To align with the banks method of setting up account names, now by default new mandates should populate the patient’s name with first name and surname only no title. A new 3 dot menu next to account name to let you change the format away from the default without typing if required.
  
DD Payments
DD payments menu now has defined action buttons
 
 
Balance corrections now show as the type BC in the list of DD payments
 
 
Bottomline
The i-Clarity DD integration with bottom-line has been enhanced to allow for split payments to be entered with an end date where a monthly payment already exists, removing the need to management of payment changes through action points when using bottom-line e-mandate integration. 
 
 
 
 
 
Diary Module Enhancements
Appointment Activity Notes
When you book, move or cancel and appointment a note will now be added to the patient activity as well as the visit history.
 
Online Appointment icon
1. Appointments available online or booked online are now marked with a web icon rather than a colour coded edge.
 
2. New options in the clinic menu, make all available appointments in this clinic as bookable online. Also an options to make all appointment slots as not available online.
 
 
Appointment Quick Pick
1. The appointment quick pick can now be launched from the bottom bar of the diary. This means you can use the quick pick facility for the active patient record, or before you have the patient’s name. (Once you have found the appointment you can then either use the search on the appointment booking form or by a drag and drop for the search menu.
 
2. There is a new parameter on the branches tab in maintenance that will set appointment quick pick ‘Appointment must match duration’ to ticked by default. 
 
 
 
Opening a standalone patient module from the diary
You can now open certain patient modules from the dairy. For example, allowing you to take payments for patients as the leave without having to bring up the patient record/close what you are working on.
 
 
Locked Lunches
Lunch Breaks can now be locked by default from a parameter against the user in maintenance. Locked lunches will not be able to have appointments extended into them of booked into them.
 
 
Locked Appointment Slots
You can now lock appointment slots, allowing you to differentiate between slots that should not be booked and those that are ‘reserved’ for a particular appointment type.
Right click on the appointment slot and select the lock option.
You will not be able to extend appointments into lock appointment slots or book appointments into locked appointment slots.
To unlock a slot right click and select unlock.
The users who are able to unlock appointments are 1) The Clinician of the Clinic 2) The user that locked the appointment 3) A superuser.
 
 
 
 
Dispense Module Enhancements
Old Rx Warning
When you open a quote where the Rx selected is now out of date the whole panel will go your selected warning colour.
N.b. If you manually choose an older Rx over the most recent dispense, a pop up will appear to confirm the Rx has been changed but the Rx panel will not be highlighted in a warning colour.
 
 
Dispensing Summary
Vision and VAs now added to the dispensing summary form (n.b. also added to clinical summary form see separate enhancement item)
 
Read Only on Confirmed/Ordered Dispenses
The delete quote and unconfirm button has been removed from the bottom bar of a confirmed dispense. It has been replaced with a read only warning.
 
Key word search
List of searchable fields in dispensing has been increased to now include all of the following; Lens Description, Product Description, Range Name, Short Range Notes, Supplier Name, Sys Search Text, Colour, Size, ProductID.
 
 
 
 
 
 
Contact Lens Trial Module Enhancements
Enhancements to the Contact Lens Trial form
1. The Go button has been removed when the trials form is opened from another clinical record as you cannot go to another module with a clinical record still open.
 
 
2. There is now a save button on the CL Trial form as well as a save and back button.
 
 
3. The wording has been updated from ‘Order Trial Lenses’ to ‘Dispense Trial Lenses’
 
4. You can now open the trial lens form from the exam’s summary and the standard clinical record screen.
 
 
 
Supplying CL Trials from stock
After clicking on the logistics icon and selecting ‘Supply Trials from Stock’ the normal CL products screen will appear. Select the trial lens product as normal. After clicking ‘OK’. The new field ‘Supplied from stock’ will be populated with today’s date. 
 
A note will be added the the CL Trial Summary page.
A note will also be created in the patient’s activity.
 
 
 
Confirming contact lens trials from the options menu
If you select the option overwrite with trial lens against the primary contact lens, the selected trials will be marked as confirmed.

Contact Lens Clinical Record Enhancements
1) Right and Left Comments will now copy forward with the rest of the contact lens prescription.
 
2) Binocular VA Drop down on the CL Rx now contains 6/7 and 6/7.5 like the Right and Left VA Lists.
 
3) The CL Clinical Record Logistics menu now contains a CL Dispense option. This will open the CL Dispense Module in a window. After dispensing the CL’s, closing the form will return you to the clinical record.
 
 
Document Centre Enhancements
You can now…..
1. Rotate documents/images within the document centre
2. Print documents from a right click
 
 
 
 
Practice Orders Module Enhancements
Order Note
Patient Details have been added to the order note box that is called from the 3 dots next to an order line
 
 
Validation
Any aftercare that is visible in orders because it has been set to be manually charged rather than auto supplied no longer validates for supplier and review date.
 
 
 
Cancelling contact lenses that have been ordered but not yet received
Following the process of reducing the received quantity of contact lenses to zero and then saying no to the backorder question, will now remove a contact lens order to be delivered from the patients order module.
 
Supplied/Collected Orders
Contact lenses that have been supplied to the patient e.g. In the status ‘Previous Orders’ will be labelled as supplied.
The default supply method (collect from branch) has been removed from the end of previous order information as this was not always accurate.
It will remain on contact lens orders on the status to be ordered, delivered or collected as this information is taken from the current order set up and is an accurate representation of what needs to happen with this order.
 
Spectacles in the status ‘Previous Orders’ will still be labelled as ‘Order Collected’
CL Order dates on the patient orders module have been refined so that the required date is no longer shown on orders that have been collected
 
 
 
All Other Modules- Enhancements 
Patient Activity 
There is a new 'Me' button next to the actions for and completed by fields. Also added a clear button to set back to N/A
 
 
Goto Todays Actions
If the actions dashboard is loaded and the date range does not match today then a new go to today button will be highlighted.
 
 
Outstanding Actions Number
Outstanding actions shown on the top bar is now always the number of actions assigned to the user up to today regardless of the dates selected on the dashboard. Therefore always giving a clear indication of how many actions need to be completed today.
 
Patient Note
If a patient note extends past the viewable area then the top part of the next line of text will be shown to indicate there is more to read, and the view button will be highlighted.
 
Specs History
When adding a new specs history from either the patient menu or clinical records, no longer defaults to bifocal and average condition. Ensure each field gets completed correctly.
 
 
Deferred payments
Tick boxes moved next to the patient’s name to help with reconciliation.
 
 
Patient Details
When you right click on the patients phone number and email fields you now have options to undo, cut, copy and paste and select.
 
 
Patient Information Bar
Specs Awaiting Collection will now be highlighted on the bottom patient information bar
 
 
Claims
Claims on the NHS Claims summary screen are now colour coded to match the old paper form colour.




PhoneBook
You can now copy and paste details from the phone book e.g. websites, usernames and passwords
 
Marketing
You now have the ability to cancel a marketing search if the number of records loading is to big plus it will show the number of records that have loaded out of the total to be loaded.
 
Walkin Sales
New Branch parameter that hides the walking sale button from the top bar
 
Dashboard
You can now sort by the patient identifier column on the dashboard.
 
Image Menu
Can now send the fast map ID to the iMap, meaning their can be consistency between imagenet6 and iMap.
 
 
 
 
 
 
System Changes
Clinical Record Changes
  • All types of Clinical Record summaries now open page width, rather than full screen.
  • If a clinical record is not confirmed, the prompt to confirm will no longer appear after a new clinical record has been started. Therefore clinical records not confirmed within the exam period will remain unconfirmed for audit purposes.
  • There is now an option to open a new blank supplementary clinical record from the Go menu
  • When using the previous exams right hand side bar to flick back through the exams, the old record warning text no longer remains when you return to today’s clinical record
  • The previous exams right hand side bar now works for supplementary records.
  • Response and referred boxes switched round on the supplementary form so referred is before response
  • Space around ‘Link to Recall’ text expanded.
Spec Order Module Changes
  • If both sets of PDs (distance and near) on dispense and order, only the required will be printed.
  • The lens combo boxes have been removed from the orders form to increase loading speed and reduce unintentional changes to the product. To change a product on an order, click the ‘Edit Lenses & Finishes’ button.
All other Changes
  • Enhanced parameters in the users tab of maintenance for more granular dashboard permissions.
  • There is a new parameter on the branches tab in maintenance that will stop the warning about an appointment being booked into an appointment slot that doesn’t not match its length. (Warnings will still appear if extending into the lunchbreak)
  • Right click on a booked appointment slot and select 'Manually enter status with notes', now has a refined list of options to improve functionality and Audit tracking of appointment changes. The options that have neem removed are Available, booked, online booking, FTA and reserved and the 2 cancelled options. All these options should be actioned from their own right click menu options or on the appointment booking form.
  • The 'Reconcile Stock' Button that opened the stock take form is now called 'Open Stock Reconciliation'.
  • There is a new option on the 'Admin Modules Menu' Orders. All CLs and Solutions to be Ordered. This will open the branches module with all the CLs and Solutions due to be ordered today selected.
  • There is a new button on the 'Admin Modules Menu' Open Quick Assist. This will open the installed Microsoft Quick Assist which may be quicker form many people than opening or installing TeamViewer.
  • Varifocal specs type validation will no longer prompt for near PDs if there are none on the dispense. This also applies to Bifocals and Trifocals.
  • New languages added to the translation feature.
  • Default price range in maintenance now different per country code.
  • Print patient slip will now only print the Rx to two decimal places unless the 3 decimal is a 5
  • Specs History will now only show the Rx to 2 decimal places unless the 3rd decimal place is a 5
  • Go to menu icons have been updated so their colour matches the user preference.
  • Bottom bar icons on Claims and DD summary now colour match the user preference.
  • When archiving patients, after the record has been archived the active patient will refresh to the last patient ID. If the last patient has an action point set to pop up it will now be disabled if loaded after a patient transfer.
  • Change to the activity refresh so that after you edit a note the lines do not change in height.
  • DD calculator, if the patient has a CL Rx then by default it will loads the latest CL RX Brand for the patient. If the patient has no CL Rx then please select will be shown in the brand field.
  • Advanced Search/Cross Branch Name search now allows:-

Fixes
  • If you reopen an attended appointment that was marked as arrived on form, it no longer changes it back to booked.
  • If you change an appointment back to booked from attended the colour no longer remains green.
  • The moved from' Clinic date’ is now set from both a drag and drop process and a right click move process.
  • Deposit amount calculation is now correct to the maintenance setting.
  • Lenses without a supplier now show in the dispensing module
  • Personal display options, the preference entered for the number of searches shown now saves.
  • When a marketing search brings a patient record back more than once, the system will now only show the result once.
  • Orders button no longer appears on dashboard.
  • KPI Graph button now working
  • Date format on Money Owed by Patients report corrected.
  • Data will now merge from a Non Sight Test when generating a letter through the document centre as well as the send communication pop up list.
  • When adding a template to the 'Other Sight Test Form' when adding into the Right Eye Box, it will now copy into the Left Eye Box and any anything after >>>> will be added to the main exams notes box.
 
Tax Credit Changes
From this update the tax credits tick box will no longer update on the patients electronic claim. After the 6th of April the Tax Credits box will be disabled on the patients claim and you will no longer be able to select it as a new NHS reason on the patients main patient record.
