In this video we’re going to look at how to create templates within i-clarity.

There are two types of templates that can be created “Personal” and “Generic” both types when creating them are the same but generic templates are available to all users, personal are just for the individual who creates them.

To create Generic, go into “back office and system modules” then “maintenance” now within maintenance search “Templates” and click “generic templates and tags”

To create personal templates, click “user options” then “maintain your templates”

Actually creating the template is the same process for both personal and generic

Lets look at creating a new personal template

From here you can copy generic templates to your personal list to give you a starting point. To then adjust one of these now personal templates, click “Preview template”

You can then make amendments to this template and press save

Lets start a completely brand-new template

Again we are going to preview a template clicking the preview button,

Now delete the content of that previewed template, don’t worry this wont delete that template as we are now going to give the template a new name, and press “Save As” this saves the template as a new template rather than overriding the one we have just previewed.

You can now free type what you would like as a template to be selectable in smart text boxes throughout the system.

Most default templates are set up like so with the “question” followed by a colon. This colon allows you to tab to the next colon on the line below, meaning you go straight into typing out the answer to the next “question”.

If you prefer to use “Tag text”, these being the words in chevrons that can be populated in templates. You create them simply by putting a word in chevrons within the main box.

Now in the right hand box, that lists tag text relevant to this template, write the tag text again in the tag text box. Then in tag answers write an answer you would like selectable as an answer when clicking on the tag text. Press the add button and this will now be an available answer when selecting that tag.

You can fill in answers to tags here, or you only need to provide one answer and then other answers can be added when using the template, meaning you don’t need to think of all answers beforehand. Allowing you to build your database of answers as and when they become relevant.

Templates can be used in any and all smart text boxes. Smart text boxes can be identified by the buttons at the top right of the box which allow for additional features. Meaning they can used in appointment notes, patient notes and actions and in all boxes within the clinical record.

For optometrists wishing to create a template for their right/left notes there is an additional feature which can be utilised.

If you place 4 right facing chevrons within the template anything written after these chevrons will drop into the clinical notes box, when the template is added to the right and left notes box

Once you have finished making your changes press “Save”

For this to load as an available template, shutdown i-clarity completely and reload it.

Now in any smart text box you can select a template by clicking the paper icon. Then select your template from the list.

A reminder that with tag text, to select a single answer you left click and to select multiple you right click. If you need to add an answer to the selection so that it is available for you in future within this tag text. Right click, free type your answer in the box and press “Add this answer”. This is now a selectable when clicking this tag text in the future. So should you wish to fill out tag text answers on the fly when they are relevant rather than thinking of them all before hand when creating the template you can do so.  

Certain boxes smart text boxes such as right/left and reason for visit can be populated with a default template for the user meaning they don’t need to be selected every time you load into the clinical record.

To do so, the user will need access to “default templates” in maintenance, go to maintenance, search for “default templates” they can then pick the specific field within i-clarity and the template they want to load into that box by default and press the add button. Once you have made your selection again shutdown i-clarity and relaunch it and when you load a clinical record or the relevant module this template will populate the smart text box you have chosen.
