Enhancements

The Patient Menu
The patient menu has now been split into a ‘Patient Menu’ and a ‘Document Menu’. This change reduces the number of items in a single menu, tasks to do with viewing or adding a document to the patient record is now in the document menu.

Patient Ad Hoc Email
An adhoc email created on the patient record can now be sent to an alternative email address, such as the GP assigned to a patient record, the college assigned to the record, the patients branch, or a free typed email.

 


Patient Details
There is a new field on the patient record ‘Pronounced’ this gives the user space to record how the patients name is pronounced.
A text to speech button has also been added to the end of the patient salutation box that will read the patients name aloud.

Clinical Record Previous Prescriptions
Previous prescription types in clinical records now colour coded to help differentiate them on viewing.

 

Clinical Record Spell Check
A new option in personal display options 'Spell Check Ignore Tags' will prevent the clinical record spell check system from highlighting words within chevrons << >>

 

 

Audiology Clinical Records
The COSI section of the audiology clinical record has been moved from the left-hand side to the main section. Allowing for more space to view COSI descriptions. The max character length of the COSI entry has been increased.

The bottom section of the Audiology record that contains, Exam Outcome etc can now be expanded to increase it in depth.

 

 

Document Centre
1.    The document centre can now be opened at the same time as clinical records so users can view the clinical record and the document centre at the same time.

2.    The document centre navigation has changed so that folders are separated into the top box. Selecting a folder with the tick box on the left will show the contents of the folder in the menu below.

The bottom menu of documents has been enhanced so that you can use the arrow keys on the keyboard to move through the list of documents, as each document gets selected it is displayed on the preview screen.

The arrow pointing to the right will expand the left menu and show details such as when the document was created and its size.
 

There is a tick box to show documents linked to exams. When the box is selected you can then select the clinical record you wish to view the documents for.
Documents created from a clinical record are automatically linked. There is an option in the document menu to link a document to a clinical record.


3.    There is a new option on the right click/ 3 dot menu next to a document. ‘Copy the text from this document’. This will copy the text in a document to the computer keyboard.

4.    New option in the document menu ‘Email To..’ This will open an adhoc email with the document attached. The email to field can be changed to the patients GP, College or a alternative email can be typed into the field.

5.    You can now view two documents side by side in the document centre. From the document menu Click ‘Preview On 1’ and then ‘Preview On 2’ for the second document.

 


English GOS Signature Boxes
1.    Boxes are dynamic and show the status waiting for signer and signature captured at the top
2.    If a signature is collected using a signature pad the signature will automatically appear on the screen as the patient signs, no need to click start pad or get from pad.
3.    The save button on the signature has been replaced with a confirm button. That confirms and saves the signature

Users can now save a signature against their profile. This signature will be used in the eGOS claim form so that users do not have to repeatedly enter their signature, the now just need to click the ‘Get the Optom’s Signature’ or ‘Get the contractors Signature’
To add a signature to your profile, click on the user menu, select ‘Change your profile & Settings’
N.b. Deferred payment signatures update to the same functionality.

 



Dispensing
1.    PDs entered in the clinical record will now be visible in the dispensing module as a read only value.
If the user wants to use this PD, they can use the arrow to copy the PD over the ‘Order PD’ fields.


2.    Specs type menu will no longer pop up on first opening of a new quote. Instead the specs type will be determined by the lens selection. The user will now only need to add the specs type manually at the end of the dispense if they have selected single vision lenses, the user will need to select between Distance and Reading.


3.    Changes have been made to speed up the loading of the lenses, and the key word search now searches the grid text rather that the text in the database speeding up keyword search on large lens price lists. There is now show a loading bar at the bottom of the lens selection screen.


4.    For practices who prefer to dispense coatings included in lens prices, this can now be done with the supplier catalogues by turning on the ‘Combine Lenses and Coatings’ feature. This will combine valid coatings onto lenses in the viewable dispensing module.



Ordering
When you exit a spectacle order and the patient still has an outstanding balance the system would take you to the till module. The program will now open the patient sales module in modal view. Clicking close on the modal view will then take you to the module selected from the go menu (If any).
N.B. if you select sales from the Go Menu then the system will open the sale module rather than just in a modal form view.

 


Maintenance
1.    New box to show products excluded from the branch you are logged into on the product maintenance grid
 

2.    There is now a progress bar on the import of the prices and lens spreadsheet to be consistent with the progress bar on the export.
3.    Catalogue import form has been enhanced so that the criterian matching screen is wider and ordered alphabetically.

 


Windows notifications
i-Clarity no longer uses the default windows notification feature to display messages. It uses a new iClarity message system, displaying notification in the top right corner of the screen.

 

 

General Changes

  • Save changes prompt: A save changes prompt has been added to the patient’s communication form.
  • Advanced search now has a separate box for forename and surname.
  • Merging patients now merges the patients dispenses and estimates that can be seen on the dispense module summary.
  • The side bar will now update changes of occupation and ethnicity; it was previously read only. The side bar also updates on the exit of clinical records. However occupation will not update if it is not the most recent clinical record.
  • When you update the notes against an appointment it will make a note in patient activity as well as in patient visit history.
  • Users with no access to a branch can now no longer access the diary of that branch through their branch dairy.
  • On the final selection of the appointment search the system was clearing the colour of all booked appointment, speed and clarity improvement was minimal so now colours of booked appointments remain.
  • If a password is used to login or on the switch user feature, that belongs to a user that has left, a clear message will now appear after clicking enter.
  • Issuing a voucher will now truncate an address to the PCSE maximum length.
  • Character length of a spectacle lens description has been increased so that coatings and transition info does not get cut off when a colour is added to the lens description. This is relevant for systems not using downloadable supplier catalogues.
  • Printing a frame barcode from the add new frame feature caused a conversion error due to a windows update being unable to read the currency symbol.
  • Running a marketing search will now deduplicate patients so that patients do not appear twice in a marketing search.
  • Opening the reports module will now load the reports module as the branch you are logged into and there in the branch colour you are currently logged into.
  • Date format changed on the purchase order report.
  • DD mandate form now locked so two different users can not add two mandates at the same time
  • You can now select untracked auto shipment for existing recurring products of the type mis and other.
  • When you add a payment line to a mandate with a specific number of payments the collection type will display as ‘number of payments’.
  • Noncurrent products are now highlighted in the DD module and products excluded from branch post addition to a patients recurring supply will still display.

 

 

 

Fixes

  • Changing the branch was temporarily leaving the last branches patients visible in the search.
  • You can now click the refresh button on the diary, whilst the display is filtered by optometrist/staff type.
  • Windows update to formats caused error on printing barcodes from the add stock numbers screen that flows the create new frame screen.
  • Booking confirmations sent from a 12th clinic when 12 clinics displayed selected 11th clinic optom.
  • Early arrival time calculation now correctly recalculates after an appointment move.
  • Moved appointments now show the name of the user that moved the appointment not the name of the original person that booked the appointment.
  • Using the 3 dot menu next to a clinic to change the optom, will now ensure that clinics can not be swapped to users that have clinics booked in for the same day elsewhere.
  • Spelling error in the diary corrected.
  • If someone tries to change the patient associated to an appointment before cancelling it, it will keep the clinic history as it, showing exactly which patient had the booked and cancelled appointment
  • Password entry into lock screen; this would get stuck in a loop if you used the enter button on the keyboard to close the notification message.
  • Users can now use the mouse and keyboard to close the message and re-enter their password.
  • On the new spec rx form the ‘available fees’ box would not allow users to scroll and select the very bottom fee.
  • If the prescription menu’s were open and the user types the prescription, the minus and plus symbols were entering letters. Typing now closes the menu and characters are entered correctly.
  • Special tick box on the voucher wasn’t reloading after saving. Selection was saved in the database and submitting just not reloading so it was viewable on the form.
  • A repeat of a confirmed dispense, was dropping the selected glazing product that was assigned to the glazing price.
  • Reprinting of an order from a 3 dot menu, that had the status ‘Ordered’  would update the received and checked date.
  • Marking a job as collected would sometimes not apply the user name.
  • Spectacles with different right and left lenses were not showing in the orders summary, the right lens was being duplicated to the left lens info on the summary screen display.
  • Marking a spectacle order as collected will now update the recalls, that remind the patient to collect and communicate with them after collection.
  • Write off and refund permissions now have consistent behavior when both set to ‘No permission’. Password box for an alternative user with permissions will open and respond to just the alternative user password.
