Creating, Editing Or Deleting A Diary Template - Enterprise

To access the Diary Templates, firstly open the Appointment Diary.

Then click 'Config' and then Diary Template'.

Creating A New Template

The module is designed to allow you to create only a single week template. If you have a rota that is longer than a week, e.g. a two-week rota, complete the creation process twice and name the template accordingly. There is no limit to the number of templates that can be created.

To create a new template, click the 'Create New Template' button.

The New Diary Template window will appear. Enter a name for the template.

Ensure the default option, 'Create and empty diary template' is selected.

To duplicate an existing template to edit, select the option 'Duplicate this diary template' then select the template you would like to duplicate from the dropdown.

Then click 'OK'.

This window will close and the name of the template will now be displayed at the top.

 

Adding Clinics To The Template

Using the fields in the bottom left-hand corner of the screen;

Firstly, select the member of staff you would like to add a clinic to the Template for.

Then select the day of the week this clinic will be.

Select if it is a Whole Day clinic or an AM or PM clinic.

Click 'Add Clinic'.

Continue this process for all the days of the week and clinicians as required.

If the clinics that are generated are not correct for your users' timings, you can alter their default appointment timings in Maintenance.

 

Editing The Clinics On The Template

Adding An Appointment To The Start Of A Clinic

Click the 3 dot menu button on the clinic you would like to add an appointment to the end of.

Click 'Add Appointment Slot' and then 'End Of The Day'.

This will open an Appointment Duration window.

Change the duration of the appointment and then click 'Ok'.

This will enter an appointment to the end of the clinic.

Adding An Appointment To The Start Of The Clinic

Click the 3 dot menu button on the clinic you would like to add an appointment to the start of.

Click 'Add Appointment Slot' and then 'Start Of The Day'.

This will open an Appointment Duration window.

Change the duration of the appointment and then click 'Ok'.

This will enter an appointment to the start of the clinic.

Adjusting Appointment Length

If you would like to make an appointment slot shorter or longer, click in the time box for that appointment.

This will open an Appointment Duration window, displaying the current duration of the appointment.

Overtype the current appointment length with the desired appointment slot length.

Then click 'Ok'.

You can also split appointment slots into two appointments.

Right-click on the appointment that you would like to split.

Click 'Split Appointment' and then select the option of how you would like the appointment to be split.

Reserving Appointments

If you would like to reserve an individual appointment, right-click on the appointment and select 'Reserve Appointment'.

If you would like to reserve multiple appointments, click 'Block Reserve Appointments' and select the combination of appointments you would like to reserve.

Whether you reserve one appointment or multiple appointments, the following window will appear:

Type the reason for the reserve in the Notes section and then click 'OK'.

Removing Appointments From The End Of A Clinic

To remove an appointment from the end of a clinic, click the 3 dot menu button at the top of the clinic.

Click 'Delete Appointment Slot' and then 'Delete Last Appointment'.

Removing Appointments From The Start Of A Clinic

To remove an appointment from the start of a clinic, click the 3 dot menu button at the top of the clinic.

Click 'Delete Appointment Slot' and then 'Delete First Appointment'.

 

Deleting A Clinic From The Template

Click the 3 dot menu at the top of the clinic you would like to delete.

Click 'Delete This Clinic Or AM/PM' then select either 'Delete The Whole Clinic', 'Delete AM' or 'Delete PM' depending on what you would like to delete.

Copying A Template To The Main Diary

To copy the template to the clinic, select the template from the dropdown list and click 'Copy Template to Diary'.

Select a start date for the week you would like to copy the template to.

Then click 'Copy'.

Repeat for any following weeks required.
